Summary
We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative operations in a dynamic office environment. The ideal candidate will possess strong clerical and customer service skills, with experience managing office procedures, handling correspondence, and supporting staff. This role requires proficiency in various software tools and excellent organizational abilities to ensure smooth office functioning and exceptional client support.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Oversee data entry tasks, maintain accurate records, and ensure proper filing of documents
Utilize QuickBooks and bookkeeping skills to manage financial transactions and recordkeeping
Coordinate appointments, schedule meetings, and support calendar management using Microsoft Office and Google Workspace tools
Provide exceptional customer service by addressing inquiries, supporting clients, and maintaining positive communication
Perform clerical duties such as proofreading correspondence, managing email communications, and preparing reports
Handle administrative tasks including document preparation, filing systems, and maintaining office supplies
Support medical or dental office functions if applicable, including patient scheduling and reception duties
Assist with billing, invoicing, and basic bookkeeping responsibilities as needed

Skills

Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets)
Strong computer skills with the ability to adapt to various office software applications
Excellent data entry accuracy and typing speed
Previous clerical or administrative experience required; experience in medical or dental offices is a plus
Exceptional customer service skills with professional phone etiquette and the ability to manage multi-line phone systems
Strong organizational skills with attention to detail for proofreading and document management
Ability to handle front desk responsibilities efficiently while maintaining a welcoming environment
Knowledge of filing systems and general office procedures
Ability to multitask effectively in a fast-paced environment with excellent organizational skills

Pay: $30.00-$35.00 per hour
