Monarch Dentistry is seeking an experienced and driven Office Manager to lead our well-established, high-volume 10-operatory clinic in Hamilton. Our Hamilton practice has proudly served the community for over 20 years and continues to grow. We are looking for a strong leader who can maintain momentum while building structure, accountability, and profitability.
Key Responsibilities:
Leadership & Team Management
- Lead, coach, and support a team of clinical and administrative staff
- Conduct team meetings and productive daily huddles
- Monitor staff performance, attendance, and accountability
- Support hiring, onboarding, and training initiatives
- Foster a positive, professional, and high-performance culture
Operations & Scheduling
- Oversee daily clinic flow across 10 operatories
- Optimize patient scheduling to minimize gaps and maximize productivity
- Monitor hygiene rebooking rates and production targets
- Ensure smooth front-desk and treatment coordination processes
Financial & Performance Oversight
- Monitor daily, weekly, and monthly production goals
- Manage accounts receivable and patient payment plans
- Support collection efforts and insurance follow-ups
- Generate performance reports and track KPIs
- Identify opportunities to improve profitability and efficiency
Patient Experience
- Ensure exceptional customer service standards
- Handle escalated patient concerns professionally and promptly
- Support treatment acceptance and case presentation processes
Qualifications
- Minimum of 10 years of dental office management experience reqiured.
- Strong understanding of dental scheduling and production management
- Experience managing high-volume, multi-operatory clinics
- Knowledge of insurance processing and accounts receivable
- Strong leadership, communication, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
