Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative operations within our busy office environment. The ideal candidate will possess strong clerical and customer service skills, with experience in managing office procedures, bookkeeping, and front desk responsibilities. This role requires proficiency in various software tools and excellent communication abilities to ensure smooth office functioning and exceptional support to staff and clients.
Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Maintain accurate data entry and filing systems, ensuring all records are up-to-date and easily accessible
- Utilize QuickBooks for bookkeeping, invoicing, and financial record keeping
- Prepare correspondence, reports, and proofreading documents for accuracy and clarity
- Coordinate appointment scheduling and calendar management using Google Workspace and Microsoft Office applications
- Support customer service efforts by addressing inquiries promptly and professionally
- Assist with medical or dental office tasks such as patient check-in, appointment confirmations, and supporting dental receptionist duties as needed
- Perform administrative tasks such as copying, scanning, faxing, and maintaining office supplies inventory
- Ensure compliance with office policies and procedures while maintaining a welcoming environment for clients and staff
Skills
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and general computer skills
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent data entry skills with high accuracy; typing speed is essential
- Clerical experience including filing, document proofreading, and administrative support
- Customer service experience with strong phone etiquette skills; capable of managing multi-line phone systems effectively
- Experience in medical or dental office environments is a plus, including dental receptionist or dental office experience
- Knowledge of bookkeeping practices related to small business or healthcare settings
- Ability to handle front desk responsibilities professionally while providing exceptional customer support
