Position Overview:
The Treatment Coordinator is the connection point between the clinical team and the patient journey. You will help patients understand their treatment, feel confident in their care, navigate financial arrangements, coordinate scheduling, and move forward with treatment comfortably and confidently.
You are not simply “Booking Appointments.” You are helping patients make informed healthcare decisions while creating an experience that feels supportive, professional, organized, and compassionate.
You will work closely with Dentists, Specialists, Hygienists, Practice Leads, and Regional Leadership to help deliver an exceptional patient experience while supporting overall clinic growth and operational performance.

Key Responsibilities:
Creating Exceptional Patient Experiences
- Build genuine trust and strong relationships with patients and families
- Ensure every patient interaction feels welcoming, professional, and compassionate
- Help patients feel informed, comfortable, and supported throughout their treatment journey
- Communicate clearly and confidently with patients regarding treatment recommendations and next steps
- Support anxious or uncertain patients with empathy and professionalism
- Create a high-touch, hospitality-driven patient experience
- Follow up with patients after consultations and major treatment discussions
- Help turn patient concerns into positive experiences through strong communication and problem-solving
Treatment Coordination & Case Presentation
- Review and explain treatment plans in clear, patient-friendly language
- Coordinate comprehensive treatment plans and multi-appointment cases
- Help patients understand timelines, benefits, urgency, and financial considerations
- Present treatment estimates and payment options confidently and professionally
- Work closely with providers to improve case acceptance and continuity of care
- Monitor unscheduled treatment and proactively reconnect with patients
- Coordinate referrals, follow-ups, and specialty appointments where required
- Ensure all treatment discussions and patient communications are documented accurately
Financial & Insurance Coordination
- Verify insurance eligibility and assist patients with understanding their benefits
- Prepare treatment estimates and financial arrangements accurately
- Submit pre-authorizations and insurance documentation as required
- Discuss payment options and financing professionally and transparently
- Support collections and account follow-up respectfully and professionally
- Help patients navigate financial questions confidently and comfortably
Scheduling & Operational Excellence
- Coordinate provider schedules strategically and efficiently
- Help maintain productive schedules and smooth patient flow
- Support schedule optimization and minimize gaps where possible
- Coordinate large or complex treatment bookings effectively
- Maintain strong attention to detail in all scheduling and administrative functions
- Collaborate closely with administrative and clinical teams to ensure operational consistency
Qualifications
- Previous experience in a dental administration, treatment coordination, or patient coordination role
- Strong understanding of dental terminology and dental workflows
- Experience discussing treatment plans and financial arrangements with patients
- Familiarity with dental insurance processes and pre-authorizations
- Experience with dental practice management software
- Exceptional communication and customer service skills
- Strong organizational and multitasking abilities
- Ability to work in a fast-paced, high-volume environment
- Professional, polished, and patient-focused approach
Bonus Points if You Have:
- Experience in a multi-provider or high-growth dental environment
- Experience coordinating larger treatment cases such as implants, surgery, ortho, or full-mouth rehabilitation
- Experience in a DSO or multi-location dental organization
- Strong production-focused scheduling experience
- Experience supporting patient financing conversations
Working Conditions
- Fast-paced dental clinic environment
- Open working environment using desk/computer
- Travel may be required between company locations
- Occasional overtime may be required
- You must be fully permitted to live and work in either Canada
