This is more than a front desk role. You are often the first smile families see, the calming voice on the phone, and an important part of helping children feel safe, comfortable, and excited about visiting the dentist.

Experience in dental administration is an asset, but personality, attitude, work ethic, and a love for children are equally important.

Key ResponsibilitiesPatient & Family Experience
- Welcome children and families with warmth, positivity, and professionalism
- Help create a calm, fun, and comforting environment for children of all ages and abilities
- Support families through appointments, paperwork, scheduling, and financial discussions
- Build strong relationships with patients and guardians through excellent communication and empathy
- Deliver exceptional customer service and create positive patient experiences
Scheduling & Administrative Coordination
- Schedule and coordinate patient appointments efficiently using Dentrix
- Manage appointment confirmations, recalls, follow-ups, and short-notice openings
- Assist in maintaining productive and organized schedules
- Answer phones professionally and confidently
- Coordinate referrals and communication with specialists and healthcare providers
- Support efficient patient flow throughout the day
Insurance & Financial Coordination
- Submit insurance claims and preauthorizations electronically
- Collect and process payments
- Assist families in understanding insurance processes and financial arrangements
- Maintain accurate patient financial records and documentation
Office Operations
- Maintain organized patient charts and electronic records
- Ensure reception and waiting areas remain welcoming, clean, and organized
- Support day-to-day administrative operations of the clinic
- Manage multiple priorities efficiently while maintaining exceptional patient service
- Assist the clinical team as needed to support smooth office operations

Qualifications
- Experience in dental administration, healthcare administration, or customer service
- Experience with Dentrix is considered a strong asset
- 2-5 years dental experience preferred
Skills & Experience
- Experience scheduling and coordinating appointments
- Knowledge of insurance submissions and patient billing
- Strong computer skills including Dentrix, Microsoft Office, Outlook, and digital communication systems
- Excellent verbal and written communication skills
- Understanding of patient confidentiality and privacy standards
- Ability to multitask, prioritize, and adapt quickly in a busy environment
