Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily administrative tasks, support office operations, and ensure a smooth workflow. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities efficiently. Experience in medical or dental office settings is a plus, but not required. The Office Administrator will play a key role in maintaining a professional and welcoming environment for clients and staff alike.

Duties

Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing, document proofreading, and organization of office supplies to ensure efficient workflow
Support bookkeeping tasks and basic financial record keeping
Assist with appointment scheduling, patient or client support, and general administrative duties
Coordinate correspondence, prepare reports, and manage email communications
Provide excellent customer service by addressing inquiries promptly and professionally
Support medical or dental office functions as needed, including managing patient information and supporting reception activities

Skills

Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or similar bookkeeping software
Strong computer skills with the ability to learn new software quickly
Excellent organizational skills with attention to detail
Effective multi-tasking abilities in a fast-paced environment
Strong typing, proofreading, and data entry skills
Exceptional phone etiquette and customer service skills for front desk operations
Clerical experience in an office setting; medical or dental office experience is a plus
Knowledge of filing systems and administrative procedures
Ability to handle confidential information discreetly and professionally
Previous experience with multi-line phone systems preferred
