Remote: Dental Office Administrator (Mobile Dental Hygiene Clinic)

Overview:

We are a mobile dental hygiene clinic providing service to people living in Long-Term Care (LTC) homes. We are looking for a friendly, conscientious and organized Remote Dental Office Administrator to join our team. We are unique in that we communicate mostly with family members rather than our patients directly, allowing for a work-from-home Admin position.

The role includes new patient intake, scheduling coordination, billing support, and consent communication. The ideal candidate will have strong customer-service skills, is conscientious and technologically proficient. You will proactively manage multiple communication streams (phone, text, email) with families, Substitute Decision Makers/ Powers of Attorney, and Long Term Care homes.

Responsibilities:

Text and phone communications, monitor clinic email
Manage new patient intake and consent tracking
Verify patient information and update electronic records accurately using cloud based Akitu One software
Build clinic schedules and appointment confirmations
Maintain LTC resident updates and tracking lists
Submit insurance claims (digital EDI after payment)
Prepare invoices, treatment reports, and billing follow-ups
Support CDCP, Ministry, and FNHA predeterminations
Submit insurance claims - we are non-assignment, except for government plans
Maintain organized documentation
Communicate with practice owner, triage issues and escalate when needed
Ensure compliance with privacy regulations related to medical/ dental records
Maintain cybersecurity

Experience:

Minimum 1 year dental administrative experience (dental admin/ reception certification required)
Excellent communication skills in English (written and verbal), other languages beneficial
Familiarity with dental practice management software systems - we use Akitu One
Strong organizational skills, attention to detail, and the ability to multitask effectively are essential for success in this role
Compassion for underserved individuals, volunteerism an asset
