Job Summary
We are seeking a highly organized and detail-oriented Administration Manager to oversee daily office operations and ensure efficient administrative processes. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience with various office management tools. This role is vital in maintaining a professional environment, supporting staff, and providing exceptional customer service to clients and visitors.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Oversee data entry, filing, and record-keeping to ensure accuracy and confidentiality
Coordinate scheduling and calendar management for staff and appointments
Utilize software such as QuickBooks, Microsoft Office, Google Workspace, and other relevant tools for administrative tasks
Perform bookkeeping duties, including invoicing and expense tracking
Support customer service efforts by addressing inquiries promptly and professionally
Assist with clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies
Ensure the office environment remains organized, clean, and welcoming
Support medical or dental office operations if applicable, including patient check-in and appointment scheduling

Experience

Proven experience in office administration or clerical roles with strong organizational skills
Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and multi-line phone systems
Prior experience in customer service or front desk management preferred
Knowledge of data entry procedures, filing systems, and basic bookkeeping or bookkeeping software such as QuickBooks or similar programs
Experience working in medical or dental offices is a plus but not required
Excellent phone etiquette, proofreading skills, and ability to handle multiple tasks efficiently
Strong organizational skills with attention to detail and accuracy in all work performed

Pay: $80,363.98-$84,048.43 per year
