Job Summary
We are seeking an experienced and highly organized Dental Front Desk / Office Manager to lead daily administrative operations at our new dental clinic. The ideal candidate must have hands-on experience with dental software, excellent patient communication skills, and the ability to manage front-office workflows efficiently while supporting clinical and business operations.
Key ResponsibilitiesFront Desk & Patient Coordination
- Greet patients professionally and create a welcoming experience
- Schedule, confirm, and manage appointments using dental software, preferably cleardent
- Handle patient check-in/check-out and treatment plan coordination
- Manage phone calls, emails, recalls, and follow-ups
- Maintain accurate patient records and charts
- Great Customer Service.
Billing, Insurance & Financials
- Process insurance claims, pre-authorizations, and follow-ups
- Post payments (cash, debit, credit, insurance)
- Explain treatment plans, estimates, and payment options to patients
- Manage AR, outstanding balances, and daily deposits
- Generate daily, weekly, and monthly financial reports
Office Management
- Oversee front desk staff scheduling and performance
- Ensure compliance with Alberta Dental regulations and clinic policies
- Manage office supplies, inventory, and vendor coordination
- Support dentist(s) with operational efficiency and patient flow
- Assist with staff onboarding and training on ClearDent workflows
Software & Systems
- Advanced use of Dental software E.g ClearDent (scheduling, billing, reports, recalls)
- Ensure data accuracy and proper documentation
- Optimize workflows to improve efficiency and reduce errors
Required Qualifications
- Minimum 2–3 years experience in a dental front desk or office manager role
- Strong ClearDent software experience or equivalent
- Solid understanding of dental billing, insurance, and treatment codes
- Excellent communication and customer service skills
- Strong organizational, multitasking, and leadership abilities
- Professional, reliable, and detail-oriented
Preferred Assets
- Experience in Alberta dental clinics
- Knowledge of AHCIP, private insurance, and coordination of benefits
- Multilingual skills (Punjabi, Hindi, Urdu considered an asset)
- Experience managing or training front-office staff
- ClearDent software
