Role & Responsibilities
- Greet patients, answer phone calls, manage reception area, and schedule appointments
- Coordinate check-ins, intake forms, and insurance pre-authorizations
- Handle billing, invoicing, insurance claims, collections, and payments
- Maintain accurate patient records while upholding privacy and confidentiality standards
- Manage day-to-day administrative tasks (filing, correspondence, email)
- Coordinate with dentists, hygienists, and clinical staff to ensure smooth office flow
- Optimize the appointment schedule to ensure efficiency and productivity
- Manage recalls and maintain the patient database (appointments, confirmations, changes, cancellations)
- Prepare and process referral letters and other patient correspondence
- Assist with treatment planning and treatment coordinating
- Provide warm, professional customer service in a busy, fast-paced environment Clinical Floater Duties:
- Assist with operatory setup and turnover
- Sterilization and infection prevention & control (IPAC) procedures
- Provide chairside support when required
- Ensure smooth patient flow between front desk and clinical team
Treatment Coordination Duties:
- Present and explain treatment plans clearly to patients
- Coordinate appointments for complex or multi-step treatments
- Support patients with financial arrangements and insurance understanding
Qualifications & Skills
Required:
- Previous experience in medical/dental/office administration
- Strong communication skills (verbal and written) with a professional, friendly demeanour
- Excellent organization, attention to detail, and time management skills
- Ability to multitask accurately and handle a high volume of activity
- Proficient with Microsoft Office and comfortable with general office software
- Tech-savvy and able to troubleshoot basic computer/electronic issues
- Team player who can also work independently with sound judgment
Preferred/Assets:
- Previous dental assisting experience
- Knowledge of dental terminology, treatment codes, and procedures
- HARP certified
- Experience with IPAC(Infection Prevention and Control)
- Experience with ClearDent, SafeReferral, Sidexis, and Recall Max/Max Assist
