London Chiropractic and Massage Clinic is a well-established multidisciplinary healthcare clinic serving patients across London, Ontario. Our team includes chiropractors, registered massage therapists, physiotherapists, and rehabilitation professionals who work together to provide professional, patient-centred care.
We are looking for a dependable, organized, and friendly Front Desk Administrator / Patient Care Coordinator to join our team. This position will be primarily based out of our Hamilton Road location, but the successful candidate may be required to rotate between our three clinic locations as needed:
- 343 Hamilton Road
- 423 Colborne Street
- 142 Wortley Road
This role is ideal for someone who enjoys helping patients, staying organized in a busy clinic environment, and playing an important role in the day-to-day success of a healthcare clinic.
The Role
The Front Desk Administrator is often the first and last point of contact for patients. This role requires professionalism, warmth, attention to detail, and the ability to manage multiple priorities throughout the day.
You will be responsible for supporting patient scheduling, front desk communication, billing, clinic flow, rebooking, administrative tasks, and maintaining a positive patient experience.
Key Responsibilities
- Greet patients warmly and professionally
- Answer phone calls, emails, and in-person inquiries
- Schedule, reschedule, and manage appointments using Jane App
- Support practitioner schedules and help optimize clinic flow
- Process patient payments and issue receipts
- Assist with direct billing to extended health benefits when applicable
- Support MVA/HCAI and WSIB administrative tasks as required
- Maintain accurate patient information and documentation
- Assist with patient recalls, rebooking, and follow-up communication
- Keep the reception area and clinic environment clean, organized, and welcoming
- Support treatment room preparation and general clinic duties when needed
- Communicate clearly with practitioners and other front desk team members
- Assist with light clinic marketing or administrative projects when required
Required Qualifications
- Previous front desk, reception, administrative, or customer service experience
- Strong communication skills, both written and verbal
- Friendly, professional, and patient-focused attitude
- Highly organized and detail-oriented
- Comfortable working in a busy healthcare setting
- Able to handle confidential patient information appropriately
- Comfortable using computers, scheduling software, email, and phone systems
- Reliable and punctual
- Willingness to rotate between clinic locations when needed
Preferred Experience
Experience in any of the following would be considered an asset:
- Jane App
- Chiropractic, physiotherapy, massage therapy, or multidisciplinary clinic administration
- Direct billing and extended health benefit portals
- HCAI / MVA claims
- WSIB claims
- Medical office administration
- Canva, social media, or light marketing support
