Career Contacts is recruiting on behalf of our client for the role of Dental Office Manager. Our client is seeking an experienced Dental Office Manager who can serve as the operational backbone of a fast-paced orthodontic practice. This role requires a confident leader who can make informed decisions, support staff, and partner closely with ownership to drive clinic performance and enhance the patient experience. The ideal candidate will have exceptional organizational skills, a strong background in dental office administration, and a passion for providing excellent customer service. Reporting to 2 Practice Owners, this role is integral to ensuring the smooth day-to-day operations of the clinic, fostering a positive team environment, and enhancing the customer experience.

Salary: $90,000 - $100,000 per year + Benefits + Performance Bonus

Responsibilities:

Oversee daily operations, ensuring smooth patient flow and administrative accuracy
Maintain compliance with dental regulations, privacy requirements, and clinical standards
Lead, coach, and support admin and clinical team members
Assist management in staff performance conversations, corrective coaching, and ongoing check-ins
Ensure consistent communication and alignment across all teams
Manage patient scheduling, treatment coordination, and follow-ups
Resolve patient concerns with professionalism and empathy
Ensure customer service excellence at all touchpoints
Manage office financials, including payroll, budgeting, invoicing, and insurance coordination
Oversee vendor relationships, supplies, and inventory management
Maintain accurate recordkeeping and supervise practice software usage
Participate in operational planning and continuous improvement discussions with ownership
Lead special projects (events, process improvements, staff development programs)
Represent management in clinic communications and team meetings

Requirements:

5+ years of dental/medical office management experience
Strong leadership and conflict-management skills
Experience managing a multi-doctor, fast-paced clinic an asset
Proficiency in dental practice management software
Demonstrated ability to build trust and drive performance
Ability to multitask and maintain composure under pressure
