Team Overview:
Our clinic is supported by a dedicated team, including Hygienists, Dentists, Front Desk staff, and Dental Assistants, all committed to quality dental care and service. We're looking to add a Receptionist/Treatment Coordinator to join our efforts.
The ideal candidate will integrate seamlessly with our multidisciplinary team, playing a crucial role in streamlining dental services and enhancing patient interactions. Key Responsibilities
Patient Reception and Communication:
- Greeting patients warmly upon arrival and departure.
- Managing patient queries in person, via phone, or email in a professional and courteous manner.
- Providing patients with information about services, treatments, and clinic policies.
Scheduler:
- Scheduling patient appointments and managing the clinic calendar to optimize patient flow and practitioner availability.
- Sending appointment reminders and following up on missed appointments.
Record Keeping and Data Entry:
- Maintaining accurate and up-to-date patient records, including personal details, treatment plans, and medical histories.
- Entering data into the clinic's management software to ensure records are current.
Financial Transactions:
- Handling billing procedures, issuing invoices, and processing payments.
- Managing insurance claims and liaising with insurance companies to ensure accurate billing and reimbursement.
- Verifying patients' insurance coverage, including eligibility and benefits, to ensure accurate billing and inform patients of any potential out-of-pocket costs.
Front Desk Administration:
- Ensuring the reception and waiting areas are clean, organized, and welcoming.
- Managing office supplies and equipment, ensuring everything is in working order and adequately stocked.
Support and Coordination:
- Assisting with the coordination of patient care, including liaising between dentists, dental assistants, and hygienists.
- Providing administrative support to the dental team as needed, such as helping with treatment planning and patient education.
Screening Criteria
- Must have minimum 1 year of experience in a dental clinic.
- Experience with billing procedures and insurance claims processing in a healthcare setting.
- Experience managing communications over the phone, including scheduling appointments and addressing patient inquiries.
- Experience with data entry and maintaining accurate patient records.
- Ability to provide exceptional service, demonstrating patience, empathy, and professionalism in all patient interactions.
- Excellent verbal and written communication abilities for effective interactions with patients, insurance companies, and other team members.
- Must be available for work Monday/Wednesday evenings (4 PM to 8 PM) and Saturdays (9 AM to 3 PM), and must be flexible for schedule adjustments as needed.
- Bilingual in both official languages (English and French).
Assets
- Familiarity with dental practice management software (preferably Open Dental), Microsoft Office Suite, and the ability to learn new software quickly.
- Understanding of basic dental terms and procedures to accurately schedule appointments and manage patient queries.
- Arabic speaking an asset.
Salaries are based on qualifications and experience.
