The Scheduling Coordinator at 52nd Dental Centre is responsible for ensuring seamless daily operations, optimizing patient scheduling, office workflows, and administrative processes to support a high-quality dental care experience. This role serves as the central point of communication between patients, dental staff, and management, ensuring efficiency and organization within the practice.
OBJECTIVES
● Ensure 100% of patient appointments are accurately scheduled, rescheduled, and
confirmed to optimize provider availability and minimize gaps.
● Maintain 95%+ patient satisfaction ratings by providing prompt, professional, and
courteous communication in all interactions.
● Ensure 100% accuracy in patient record documentation, including treatment history,
insurance details, and billing information.
● Process 100% of insurance claims and patient payments accurately, reducing billing
discrepancies and improving collection efficiency.
● Ensure 95%+ of incoming calls, emails, and inquiries are responded to within the same
business day, maintaining smooth front office operations.
● Facilitate effective communication between patients, dentists, hygienists, and
administrative staff to ensure seamless office workflow.
● Maintain 100% compliance with privacy regulations (HIPAA/PIPEDA) and office
policies, ensuring patient data security and confidentiality.
● Identify at least two workflow or patient experience improvements per quarter,
contributing to office efficiency and service quality.
● Maintain 95% accuracy in using dental practice management software (e.g., Dentrix,
Open Dental, or similar) to streamline patient tracking and reporting.
● Ensure 100% of new patients receive follow-up communication within 48 hours of
their first visit, contributing to long-term retention.
● Monitor and maintain 100% availability of front desk and administrative supplies,
ensuring seamless daily operations.
● Assist in coordinating office promotions, patient education materials, and outreach
programs to enhance patient engagement and office visibility.

● Conflict Resolution & Customer Service – Ability to de-escalate patient concerns, address scheduling conflicts, and resolve billing inquiries professionally.
● Inventory & Office Supply Management – Ability to track, order, and maintain front desk and administrative supplies, ensuring uninterrupted office operations.
● Marketing & Patient Engagement – Supports marketing initiatives, patient recall
programs, and community outreach to enhance practice growth and retention.
