We are seeking a dedicated and organized Medical Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our medical office, providing exceptional support to both patients and healthcare professionals. Duties
- Greet patients and visitors in a friendly and professional manner at the front desk.
- Manage phone systems, answering calls promptly and directing them to the appropriate personnel.
- Schedule appointments and maintain an organized calendar for healthcare providers.
- Assist with patient check-in and check-out processes, ensuring all necessary documentation is completed accurately.
- Maintain electronic medical records (EMR) using systems such as Epic or Dentrix, ensuring confidentiality and compliance with regulations.
- Collect patient information, including medical history and insurance details, while explaining office policies clearly.
- Support administrative tasks such as filing, data entry, and managing office supplies.
- Communicate effectively with patients regarding their appointments, treatment plans, and follow-up care instructions.
- Collaborate with healthcare staff to ensure efficient patient flow and high-quality care delivery.
- Develop, coordinate, and manage staff schedules to ensure adequate coverage.
- Monitor and track staff attendance, leaves, and punctuality.
- Handle shift changes, replacements, and schedule adjustments as needed.
- Maintain accurate attendance and scheduling records.
- Ensure compliance with workplace policies and procedures.
Qualifications
- Minimum 5 years of experience in a medical office or dental office setting is required.
- Proficiency in electronic medical records systems; familiarity with Epic or Dentrix is a plus.
- Strong understanding of medical terminology and administrative procedures related to healthcare.
- Excellent organizational skills with attention to detail in managing multiple tasks simultaneously.
- Ability to communicate clearly and compassionately with patients from diverse backgrounds.
- Experience with front desk operations, including scheduling appointments and handling phone systems.
- Ability to work effectively both independently and as part of a team in a fast-paced environment.
