We are looking for an experienced and passionate Dental Manager to join our team and help take us to the next level. (5+ years experience working in an Ontario Dental Office).
You will be required to look after daily operations of the office with minimal supervision.
Responsibilities:
What you'll do:
- Lead, coach and motivate your team to improve productivity, engagement and retention
- Staff scheduling for all practice administrative and auxiliary employees
- Monitoring employee shifts and managing staff vacation time
- Payroll verification and calculation
- Hiring, reviews, discipline, anniversaries
- Ensure all Health and Safety standards are met
- Complete practice audits, manage practice expenses and track/report on practice KPIs
- Manage practice supplies and equipment, proactively monitoring stock of supplies
- Resolve patient concerns, investigate patient complaints, and effectively resolve conflicts
- Partner with senior management on hiring, training, ongoing performance management, employee relations, performance reviews and health & safety compliance
- Establish and maintain effective communication throughout the practice including leading daily huddles and team meetings
- Align treatment planning with needs of the patient; ensure all patients are provided with best and multiple options when deciding on services
- Display a patient-first orientation and lead by example, holding your team accountable for delivering optimal patient care
- Implement key company programs, policies and procedures in collaboration with the leadership team
- Develop marketing strategy and promotional materials to increase number of new patients
- Coordinate with building, contractors, vendors and any other third parties on facilities maintenance and/or facilities issues
- Act as a brand ambassador the clinic by maintaining positive relationships with patients, vendors and other businesses
Financial
- ensure all daily financial reporting and collections are accurate and complete using software and banking records
- monitor hygiene production is accurate
- suggest administrative processes which will encourage efficiency, production, and easy to follow steps
- oversee sundry purchases are staying within office budgeting; track monthly spending
- ensure all vendor and lab bill accuracy prior to payment

Daily Operations
- daily communication/meetings with all staff
- bi-weekly meetings with Dr. to review health of practice
- assume administrative roles when necessary (sick/vacation time)
- assume assisting role when necessary (sick/vacation time)
- organize and facilitate staff meetings, including minute distribution
- positive support to all team with a whatever it takes attitude
- ensure office is presentable, uncluttered, tidy
- coordinating any IT support if necessary
- smooth operation of office
- Patient retention, following up with any patient’s who are leaving the office and resolving and issues.
Required Qualifications:
- 5(+) years' experience in dental practice administration
- Knowledge of Cleardent is preferred
- Broad knowledge of dental practice processes and workflows (scheduling, financial and treatment coordination)
- Proficiency with Microsoft Office/Excel
- Demonstrated experience with leading, coaching and developing teams
- Willingness to work varied hours to align with business needs
