Position Overview
We are seeking a polished, professional, and highly personable Surgical Booking Coordinator to join our private surgical clinic. This role is ideal for an individual who is passionate about delivering an exceptional patient experience and thrives in a refined, fast-paced, service-oriented environment.
As one of the key points of contact in the patient journey, the Surgical Booking Counselor plays an integral role in guiding patients from consultation to confirmed surgery. This individual will be responsible for providing a seamless and supportive booking experience, reviewing surgical options and fees, answering questions, coordinating appointments, and building patient confidence throughout the decision-making process.
The ideal candidate is warm, detail-oriented, polished in presentation, and confident in discussing scheduling and financial details with professionalism and discretion. They understand the importance of white-glove service and are committed to ensuring each patient feels cared for, informed, and valued.

Key ResponsibilitiesPatient Experience and Surgical Coordination
- Provide an elevated, concierge-style experience for patients throughout the surgical booking process
- Meet with patients following consultation to review recommended procedures, pricing, timelines, and next steps
- Guide patients through the process of moving forward with surgery in a way that is informative, reassuring, and professional
- Coordinate and book surgical procedures, final testing appointments, and related follow-up visits in accordance with clinic protocols and surgeon availability
- Ensure all aspects of the patient booking journey are handled smoothly, accurately, and with exceptional attention to detail
- Provide patients with clear pre-operative instructions and booking confirmations
Relationship Building and Follow-Up
- Build strong rapport with patients and help foster trust and confidence in the clinic, surgeon, and treatment plan
- Conduct timely and thoughtful follow-up with prospective patients, undecided patients, and those requiring additional support
- Respond to patient questions and concerns with warmth, discretion, and professionalism
- Deliver a personalized and attentive experience that reflects the standards of a premium private clinic
- Support patients in making informed decisions without pressure, while maintaining a strong sense of confidence and professionalism
Financial Discussions and Administrative Support
- Review surgical fees, promotions, deposits, and payment expectations with clarity and confidence
- Discuss financing or payment options, where applicable, in a polished and respectful manner
- Ensure all required documentation, consents, deposits, and records are completed accurately and in a timely fashion
- Prepare and send professional patient correspondence including quotes, confirmations, receipts, invoices, and pre-operative instructions
- Maintain accurate and thorough documentation within the EMR and scheduling systems
Team Collaboration and Operational Excellence
- Communicate effectively with surgeons, technicians, administrative staff, and management to ensure a seamless patient experience
- Help maintain an organized and efficient surgical schedule
- Anticipate potential scheduling issues or patient concerns and address them proactively
- Support overall clinic flow and contribute positively to a culture of professionalism, excellence, and teamwork
- Assist with patient retention, reactivation, and general follow-up initiatives as needed
Qualifications
- Previous experience in a private medical, surgical or specialty clinic setting required.
- Experience in surgical booking, patient coordination, consultation, or a similar high-touch patient-facing role is strongly preferred
- Exceptional interpersonal and communication skills
- Strong organizational skills with meticulous attention to detail
- Confidence in discussing pricing, scheduling, and patient expectations in a professional and polished manner
- Ability to multitask and remain composed in a fast-paced environment
- Proficiency with EMR systems, scheduling software, Microsoft Office, and email communication
- Professional appearance, excellent judgment, and a service-driven mindset
