Job Title: Lead Dental Administrator

Reports To: Principal Dentist / Owner
Position Overview:
We are seeking a highly organized, experienced, and motivated Lead Dental Office Administrator to oversee the daily operations of our busy dental practice. The ideal candidate will have a strong background in dental office administration, exceptional leadership skills, and the ability to foster a productive, patient-focused environment. This role requires a proactive, detail-oriented individual who can manage both the clinical and administrative teams with efficiency and professionalism.
Key Responsibilities:
Leadership & Team Management:
- Supervise and support administrative and clinical staff, including scheduling, performance reviews, training, and conflict resolution
- Foster a positive and collaborative workplace culture
- Manage staff schedules to ensure optimal coverage and workflow
- Lead team meetings and ensure communication between departments is clear and effective
Office Administration:
- Oversee day-to-day operations of the dental practice to ensure smooth, efficient workflow
- Monitor and maintain office policies, systems, and procedures
- Ensure compliance with privacy laws (PIPEDA) and health and safety regulations
- Manage patient complaints and resolve concerns professionally and promptly
Financial Management:
- Monitor and manage accounts receivable and payable
- Oversee insurance claim submissions, predeterminations, and follow-ups
- Prepare monthly and quarterly reports for management
- Manage budgeting and cost control, including payroll coordination
Patient Relations:
- Ensure a high standard of patient care and customer service
- Handle complex patient scheduling issues, treatment plan coordination, and financial discussions
- Implement strategies to enhance patient retention and satisfaction
Technology & Record Keeping:
- Proficient in dental software (e.g., ClearDent, Dentrix, or similar)
- Maintain accurate records, reports, and correspondence
- Ensure proper chart audits, documentation standards, and clinical note compliance
Qualifications:
- Minimum 3–5 years of experience in dental office management
- Strong leadership and interpersonal skills
- Excellent written and verbal communication skills
- Proficient in dental practice management software and Microsoft Office
- Knowledge of dental billing, insurance, and treatment planning
- Ability to multitask and adapt in a fast-paced environment
- CPR and WHMIS certification (or willingness to obtain)
- Post-secondary education in healthcare administration or a related field is an asset
