A well-established and growing dental practice in Ajax is seeking an experienced and confident Dental Treatment Coordinator & Office Administrator to join our team.
This is a key role within our practice. We are looking for a highly organized, systems-driven professional who is confident presenting treatment plans and discussing finances with patients. Strong case presentation and follow-up skills are essential, as this role plays an important part in supporting practice growth and operational efficiency.
This position combines treatment coordination, operational administration, and hands-on front desk support within a small, collaborative team environment.
Treatment Coordination & Case Acceptance
- Present and explain comprehensive treatment plans clearly and confidently
- Discuss financial arrangements and insurance coverage with patients
- Follow up on unscheduled treatment and outstanding treatment plans
- Track and monitor case acceptance metrics
- Support associate dentists by reinforcing treatment recommendations
- Help strengthen systems that improve production and patient retention
Office Administration & Operations
- Oversee day-to-day non-clinical office operations
- Coordinate employee onboarding and maintain staff documentation
- Track vacation/time-off and assist with scheduling logistics
- Maintain and update office policies and procedures
- Monitor accounts receivable and follow up on outstanding balances
- Assist with accounts payable and invoicing support
- Track key performance indicators (production, collections, case acceptance)
- Manage inventory and coordinate supply ordering
- Coordinate office maintenance, vendors, and service providers
- Liaise with ownership and off-site leadership as required
- Coordinate with external marketing partners (website updates and communications)
Front Desk Support (As Needed)
- Provide full reception coverage during lunches, vacation, or staff absences
- Answer phones and manage scheduling
- Process insurance claims and patient payments
- Support daily front desk workflow when required
This role requires flexibility and a team-first mindset within a small practice setting.
Qualifications
- Minimum 3+ years of dental administrative experience
- Proven experience presenting treatment plans and discussing financial arrangements
- Strong understanding of case acceptance and follow-up systems
- Proficiency with dental software (Tracker, Dentrix, or similar)
- Strong organizational and communication skills
- Comfortable balancing administrative oversight with hands-on front desk responsibilities
- Experience in a small to mid-sized dental practice preferred
