Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive understanding of administrative processes. This role offers an opportunity to lead a dynamic team while managing essential office functions, including bookkeeping, vendor relations, and human resources activities. The Office Manager will play a key role in maintaining an efficient, professional, and welcoming office atmosphere.
Responsibilities
- Supervise administrative staff and coordinate team management efforts to ensure productivity and efficiency
- Oversee front desk operations, including multi-line phone systems, greeting visitors, and managing correspondence
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Manage payroll processing and human resources functions such as employee records, onboarding, and training & development initiatives
- Maintain organized filing systems for documents, contracts, and other essential records
- Coordinate vendor management activities to ensure timely procurement of supplies and services
- Develop and implement office policies to enhance workflow efficiency and maintain high standards of professionalism
- Oversee budgeting processes and monitor office expenditures to stay within financial guidelines
- Ensure proper phone etiquette is maintained at all times to uphold a positive company image
- Organize meetings, schedule appointments, and support executive leadership with administrative tasks
- Monitor KPIs and implement growth strategies
- Oversee treatment coordination and case acceptance
- Ensure compliance with RCDSO, IPAC, and PHIPA standards
Qualifications
- 3–5+ years of dental office management experience
- Strong leadership and team accountability skills
- Proven ability to grow production and improve systems
- Experience with dental software (Dentrix)
- Deep understanding of insurance, billing, and scheduling
- Strong business mindset with a results-driven approach
