In Path Dental, a fast‑growing, patient‑focused dental office in the heart of Clarkson (Mississauga/Oakville), is looking for a Full‑Time Lead Administrative Coordinator / Front Office Manager with strong dental admin experience and leadership capabilities.

Office Hours (Full‑Time Availability Required)
- Monday, Wednesday, Thursday, Friday: 9:00 am – 5:00 pm
- Tuesday: 12:00 pm – 8:00 pm
- Two Saturdays per month: 9:00 am – 2:00 pm
You must be available to work these hours and Saturdays as scheduled.
Key Responsibilities Front Desk / Patient Care Coordination
- Warmly welcome patients, check them in and out, and ensure a smooth, comfortable visit
- Answer phones and respond to emails with professional, friendly communication
- Schedule and confirm appointments; manage both daily and long‑term schedules
- Provide excellent customer service and build relationships with patients and families
- Help maintain a calm, organized front office environment, even on busy days
Leadership & Team Oversight
- Lead, mentor, and support the admin/front office team
- Delegate and oversee daily administrative tasks to ensure efficient operations
- Take initiative in problem‑solving, improving systems, and supporting team members
- Participate in hiring, training, and performance feedback for admin team members (as needed)
- Help uphold and model the practice’s values, culture, and standards of care
Sedation & Hospital Case Coordination
- Coordinate and oversee administrative processes related to sedation appointments
- Ensure all necessary paperwork, consents, and instructions are prepared and communicated to patients
- Oversee the system and scheduling when the doctor sees patients at the hospital, including:
- Booking and confirming hospital cases
- Coordinating with hospital staff as needed
- Ensuring all documentation and logistics are organized in advance
- Monitor these systems for accuracy, timeliness, and patient safety from an administrative standpoint
Administrative & Insurance
- Use dental practice management software (experience with TRACKER is a strong asset)
- Process and manage insurance claims and estimates
- Understand or be willing to learn Non‑Assigned office workflows
- Maintain accurate, confidential patient records
- Support the doctor and clinical team with day‑to‑day administrative needs
What We’re Looking For Strong Assets (Highly Preferred)
- Dental office administrative experience (2+ years) is required
- Previous experience as a Treatment Coordinator, Front Desk Lead, Office Manager, or similar leadership role
- Experience with dental practice software such as TRACKER
- Strong understanding of dental insurance procedures and claims, especially in a Non‑Assigned office
- Prior experience coordinating sedation cases and/or hospital cases is a strong asset
