Duties

Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages with efficiency and confidentiality
Maintain organized filing systems, perform data entry tasks, and ensure accurate record-keeping using digital tools such as Google Workspace and Microsoft Office
Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
Assist with bookkeeping activities utilizing QuickBooks or similar accounting software when needed
Perform clerical duties including proofreading documents, managing office supplies inventory, and supporting administrative projects

Qualifications

At Least 2 years experience required at a dental office
Proven experience in office administration or front desk roles with strong organizational skills
Excellent computer literacy with proficiency in Tracker software, Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong customer service skills with the ability to handle inquiries via phone or in person professionally
Bilingual abilities are highly desirable to serve diverse client needs effectively
Experience with multi-line phone systems, data entry, filing, and basic bookkeeping (QuickBooks preferred)
Demonstrated ability to prioritize tasks efficiently while managing time effectively in a fast-paced environment
Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
