Position Overview:
The Dental Patient Coordinator plays a crucial role in providing exceptional customer service and administrative support in a dental office. This position serves as the first point of contact for patients and visitors and is responsible for managing appointments, coordinating patient information, and facilitating smooth communication between patients, dental staff, and external parties. The dental front desk is an integral part of the dental office team and contributes to creating a positive and welcoming environment for patients. Ability to multitask in a busy Dental Office setting required.
Key Responsibilities:
1. Patient Reception and Check-In:
· Greet patients and visitors in a warm and friendly manner.
· Register new patients and update existing patient information.
· Verify insurance coverage and process necessary paperwork.
· Collect patient information, including medical history and consent forms.
· Ensure a smooth check-in process, including scheduling appointments and verifying contact information.
2. Appointment Management:
· Schedule and confirm patient appointments using the dental office's appointment management system.
· Coordinate with dental staff to optimize the appointment schedule.
· Manage and update the appointment calendar, ensuring optimal utilization of dental resources.
· Remind patients of upcoming appointments via phone calls, emails, or text messages.
· Handle rescheduling or cancellations and fill appointment gaps efficiently.
3. Communication and Information Management:
· Answer incoming phone calls and address patient inquiries, providing accurate information or directing calls to the appropriate staff member.
· Respond to emails and other forms of communication promptly and professionally.
· Maintain confidentiality of patient information and handle sensitive documents securely.
· Communicate with dental staff regarding patient needs, special requests, or changes in treatment plans.
· Collaborate with insurance providers and manage billing inquiries and claims processing.
4. Financial Management:
· Collect and process payments from patients, ensuring accuracy and confidentiality.
· Verify insurance coverage and eligibility, and explain coverage details to patients.
· Prepare and present treatment cost estimates to patients.
· Coordinate with dental staff and insurance providers to resolve billing and payment issues.
5. Administrative Support:
· Maintain organized and up-to-date patient records, both in physical and electronic formats.
· Prepare and manage patient files, including dental charts, treatment plans, and X-rays.
· Assist with general office tasks, such as filing, faxing, and photocopying.
· Monitor and maintain inventory of office supplies and order as needed.
· Collaborate with other team members to ensure smooth office operations.
Skills and Qualifications:
· High school diploma or equivalent; additional education or certification in dental office management or administration is a plus.
· Proven experience in a customer service or administrative role, preferably in a dental or healthcare setting.
· Excellent verbal and written communication skills.
· Strong interpersonal skills and the ability to build rapport with patients and colleagues.
· Proficiency in using dental office software and computer systems.
· Knowledge of dental terminology, procedures, and insurance processes.
· Attention to detail and strong organizational skills.
· Ability to multitask and prioritize responsibilities in a fast-paced environment.
· Professionalism and ability to maintain confidentiality.
· Problem-solving and conflict resolution skills.

Pay: $25.00-$33.00 per hour
