Job Summary:
We are seeking a proactive, organized, and experienced Dental Office Manager to lead the daily operations of our dental clinic in St. Thomas, ON. The Dental Manager will be responsible for overseeing administrative and staff functions, ensuring compliance with Ontario regulations, maintaining high standards of patient care and driving the financial and operational success of the practice.
Key Responsibilities:
Operations & Administration
- Oversee day-to-day clinic operations and workflow coordination
- Ensure compliance with regulatory bodies such as the Royal College of Dental Surgeons of Ontario (RCDSO) and Public Health Ontario
- Maintain clinic policies and procedures including infection control, health & safety, and patient privacy (PHIPA compliance)
- Monitor supply inventory and manage vendor relationships
Team Leadership & Human Resources
- Recruit, train, and supervise front desk staff, dental assistants, and hygienists
- Manage employee schedules, time-off requests, and payroll coordination
- Conduct staff performance reviews and support professional development
- Foster a positive and collaborative team environment
Financial Management
- Monitor and manage clinic budgets, expenses, and financial performance
- Handle accounts receivable/payable, insurance processing, and collections
- Generate financial and operational reports for the dentist or ownership team
- Optimize appointment scheduling and production to meet revenue targets
Patient Experience & Communication
- Ensure exceptional patient service from check-in to post-treatment follow-up
- Resolve patient concerns and complaints professionally and efficiently
- Oversee marketing and patient retention initiatives, including recall systems
- Maintain accurate patient records and ensure PHIPA compliance
Qualifications:
- Strong knowledge of dental billing procedures and Ontario Dental Association (ODA) fee guide
- Proficiency in dental software such as Dentrix, Tracker, or ABELDent
- Excellent leadership, interpersonal, and communication skills
- Sound understanding of Ontario employment laws, HR best practices, and patient confidentiality legislation
- Completion of a Dental Office Administration or Dental Hygiene/Assisting program is an asset
- CPR certification and familiarity with IPAC protocols preferred
