The Remote Recall Coordinator position is only for someone who has Dental Receptionist experience of 2 years of more and must have working knowledge and experience with Tracker software. Knowledge of Max Assist (Recall Max) is a bonus.
As this Dental Patient Remote Schedule position has the responsibility for maintaining patient continuity of care by contacting patients due or overdue for hygiene and preventive dental appointments, those who do not have the above requirements, will not be considered. This role ensures that the hygiene schedule is consistently filled, recall compliance targets are met, and patients receive timely reminders and education about the importance of ongoing dental care. This is a remote position, requiring reliable and effective communication skills to support patients and our clinic effectively outside the clinic setting.
Key Responsibilities
· Review and manage the recall list daily to identify patients overdue or due for hygiene appointments.
· Contact patients by phone, email, or text to schedule hygiene visits, following approved communication scripts and guidelines utilizing Max Assist and Tracker.
· Rebook canceled or missed hygiene appointments promptly to minimize schedule gaps.
· Maintain accurate tracking of recall success rates and report progress to the Office Manager.
· Update patient records and appointment notes in Tracker and Max Assist software.
· Educate patients on the importance of preventive care, customized hygiene frequency, and any outstanding treatment.
· Collaborate virtually with the Hygiene and Front Desk teams to maximize schedule efficiency and patient flow.
· Provide excellent customer service by addressing patient questions, offering flexible scheduling options, and reinforcing trust in the practice.
· Escalate patient concerns, refusals, or barriers to care to the Office Manager for follow-up.
Qualifications & Skills
· Dental administration experience required, with a full understanding of dental clinic operations.
· Must be proficient in Tracker and Max Assist practice management software.
· Proven track record of successfully booking patients and meeting scheduling goals.
· Strong communication and interpersonal skills, with a professional and friendly phone manner.
· Ability to handle patient objections with empathy and professionalism.
· Detail-oriented with strong organizational skills and the ability to prioritize tasks.
· Flexibility to work evenings and weekends; example schedule: 11:00 am – 7:00 pm or as assigned.
· Proficient with Microsoft Office tools (Word, Excel, Outlook).
· Remote work requirements: must have a stable internet connection, reliable phone line, and appropriate equipment (supplied by the clinic).
Performance Indicators (KPIs)
· Recall success rate (percentage of patients contacted who book appointments).
· Reduction in overdue recall list (month-over-month).
· Hygiene schedule fill rate (minimizing gaps or unbooked time).
· Patient satisfaction/retention as measured by feedback and repeat bookings.

Pay: $17.75-$28.81 per hour
