Hygiene Coordinator
Ancaster Family Dentistry is growing, and we are looking for a highly organized, detail-oriented Hygiene Coordinator to support our clinical hygiene team and keep our hygiene schedule running smoothly and productively. About the Role
The Hygiene Coordinator plays a vital role in maintaining a full and efficient hygiene schedule, supporting our hygienists, and ensuring excellent patient communication in Ancaster. This role focuses on scheduling, recall management, patient retention, and optimizing the daily hygiene flow for maximum productivity and patient care.
Key Responsibilities
1. Hygiene Scheduling & Patient Communication
- Maintain a full and productive hygiene schedule.
- Communicate with patients by phone, email, and text to confirm, book, and follow up on appointments.
- Identify and fill open gaps in the schedule quickly and effectively.
- Support hygienists with schedule flow and patient coordination.
2. ABELdent Software Management
- Navigate ABELdent, including dashboard use, patient charts, and treatment history.
- Book, edit, and cancel hygiene appointments (recall, perio maintenance, scaling).
- Track overdue hygiene patients using ABELdent reports.
- Use ABELdent tools to send reminders and manage patient communication.
- Review the daily hygiene schedule and prepare for upcoming needs.
3. Recall Max Recare System
- Use Recall Max to track upcoming and overdue hygiene recare patients.
- Send automated reminders and manual follow-ups for non-responders.
- Manage patient communication using best-practice phone and text scripts.
- Run Recall Max reports (overdue patients, upcoming due, no-shows) and use them to maintain a full schedule.
4. Hygiene Schedule Optimization
- Prioritize high-value appointments (perio, scaling, productive recare).
- Balance patient needs with the practice’s productivity goals.
- Manage cancellations using waitlists and proactive outreach.
- Track key metrics including patient retention, recall rate, and hygiene production.
5. Patient Retention & Experience
- Communicate positively and confidently when discussing recare appointments.
- Overcome common patient objections (cost, timing, value of preventive care).
- Provide an exceptional patient experience during every interaction.
6. Team Collaboration
- Work closely with hygienists and the clinical team to coordinate patient care.
- Participate in team huddles to review the day’s hygiene schedule and patient needs.
- Share scheduling insights and potential challenges with the team.
7. Compliance & Standards
- Understand and support scheduling requirements aligned with Ontario IPAC guidelines.
- Follow RCDSO expectations for recare intervals and communication standards.
8. Continuous Improvement
- Stay current on ABELdent and Recall Max updates and new features.
- Participate in ongoing training to improve scheduling and recare management.
- Set goals for schedule productivity and track performance over time.
- Gather feedback from staff and patients to continuously enhance workflow efficiency.
What We’re Looking For
- Experience in a dental administrative or hygiene coordination role preferred.
- Strong knowledge of ABELdent and/or Recall Max considered an asset.
- Excellent communication skills—friendly, professional, and confident.
- Strong organizational abilities and attention to detail.
