Position: Clinic Manager – Specialty Clinic

The Clinic Manager for our Dundurn Dental Specialty Clinic is the on-site operational leader responsible for overseeing all aspects of daily clinic performance, specialty team coordination, and an exceptional patient and referral experience. This position plays a critical role in managing the success of a multi-specialty dental clinic—focused on services such as Orthodontics, Endodontics, Periodontics, Oral Surgery, and other advanced treatments—that receives patients primarily through internal and external referrals.
This is a hands-on, in-clinic leadership role, ideal for a confident, experienced professional who has successfully managed a general dental clinic and is ready to lead a higher-complexity specialty environment. The Clinic Manager must possess a deep understanding of both general dentistry and specialty operations, ensuring seamless collaboration between referring clinics, specialists, and support teams.
The role requires exceptional organizational skills, a patient-centered mindset, and the ability to manage multiple specialists, treatment schedules, and referral workflows. The Clinic Manager serves as a role model for clinical and service excellence, a trusted partner to the leadership team, and a key link between referring clinics, providers, and patients.

Leadership & Team Management
- Provide day-to-day leadership, guidance, and motivation to the clinic and specialty teams, fostering a collaborative, high-performing workplace culture.
- Partner closely with dental specialists and general practitioners to ensure seamless coordination of patient care, treatment planning, and scheduling.
- Recruit, onboard, and develop team members—including treatment coordinators, concierges, and clinical assistants—ensuring adherence to clinical and operational excellence.
- Conduct regular coaching sessions with staff, focusing on performance, engagement, and professional growth.
- Manage employee scheduling and resource planning across multiple specialties to ensure optimal coverage and efficiency.
- Lead by example, promoting a culture of professionalism, accountability, and patient-first service.
Operations & Patient / Referral Experience
- Oversee all aspects of patient and referral management, ensuring a smooth intake process for referred patients from both internal and external sources.
- Develop and maintain strong relationships with referring clinics and dental professionals to ensure ongoing collaboration and patient flow.
- Manage treatment scheduling and provider coordination to optimize clinical productivity and minimize downtime.
- Oversee the accuracy of treatment plans, insurance submissions, and financial arrangements specific to specialty procedures.
- Address escalated patient or referral concerns promptly and professionally, ensuring resolution aligned with clinic standards and patient satisfaction.
- Ensure clinical operations meet regulatory, privacy, and infection prevention standards.
- Maintain inventory, supplies, and equipment to meet the needs of multi-specialty services.
Financial & Administrative Management
- Manage the clinic’s P&L, tracking performance against financial targets and implementing improvements to drive profitability.
- Collaborate with the operations and finance teams to ensure accurate billing, coding, and reconciliation for specialty procedures.
- Prepare and analyze daily, weekly, and monthly reports on patient volume, referral trends, and financial performance.
- Monitor treatment acceptance and conversion rates, identifying opportunities to enhance revenue and efficiency.
- Support compliance with all provincial health regulations, dental licensing requirements, and company policies.
Relationship & Growth Management
- Partner with marketing and operations to build community awareness and strengthen relationships with external referral sources.
- Support regional initiatives to grow specialty services within the broader clinic network.
- Act as a liaison between providers and regional leadership to align on goals, performance metrics, and operational enhancements.
- Ensure the clinic’s culture, communication, and service delivery align with the company’s mission and patient care philosophy.
Qualifications & Requirements
- Minimum of 3–5 years of management experience in a dental or healthcare setting; experience leading a specialty or multi-provider dental clinic is strongly preferred.
- Minimum of 3+ years of dental industry experience, including in-depth familiarity with specialty procedures (e.g., Ortho, Endo, Perio, Oral Surgery).
- Proven experience managing clinic operations, financial performance, and patient satisfaction.
- Strong understanding of dental insurance, treatment coordination, and referral workflows.
- Demonstrated success in managing complex schedules, multi-provider environments, and operational systems.
- Excellent problem-solving and conflict resolution skills.
- Proficiency in dental practice management software and general office technology.
- Flexible schedule with the ability to work evenings and weekends as required.
- Strong business acumen and ability to interpret financial and operational data to inform decisions.
