Overview
We are seeking an experienced and highly organized Dental Office Manager to oversee the daily operations of our dental practice. The ideal candidate will have a strong background in dental office management, excellent leadership skills, and proficiency with dental software such as Cleardent. This role requires a professional who can manage administrative functions, coordinate staff, ensure compliance with healthcare regulations, and deliver exceptional patient service. The Dental Office Manager will play a vital role in maintaining an efficient, welcoming, and compliant practice environment.
Responsibilities
- Manage daily office operations, including patient scheduling, billing, and record keeping
- Lead, coach, and support administrative team members
- Oversee human resources functions such as hiring, training, performance evaluations, and staff development
- Ensure compliance with healthcare regulations and maintain accurate electronic medical records using Cleardent or similar software
- Coordinate with dental providers to facilitate smooth clinical workflows
- Handle budgeting, billing, insurance claims processing, and financial reporting
- Maintain a high level of patient satisfaction through effective communication and problem resolution
- Implement office policies and procedures to improve efficiency and service quality
- Stay updated on industry best practices, and healthcare standards
- Manage scheduling, recalls, confirmations, and re-booking systems
- Maintain a high standard of patient experience and service
- Implement and maintain office systems, policies, and procedures
- Work closely with the dentist/owner on KPIs, performance, and improvements
- Ensure compliance with dental regulations and privacy standards
- Liaise with suppliers, labs, and external partners as needed
Qualifications
- Proven experience in dental office management or a similar healthcare administrative role
- Proficiency with dental practice management software
- Strong knowledge of medical terminology and electronic medical records systems
- Prior experience in human resources management within a healthcare setting
- Supervisory experience overseeing staff in a clinical or medical environment
- Familiarity with budgeting, billing procedures, insurance processes, and healthcare compliance standards
- Experience with medical office operations or hospital/acute care environments is advantageous
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong leadership qualities with the ability to motivate and develop staff members
