Job Summary
We are seeking a highly organized and professional Office Manager to oversee daily office operations and ensure a smooth workflow. The ideal candidate will possess strong administrative skills, excellent customer service abilities, and proficiency with various office software. This role is vital in maintaining efficient office functions, supporting staff, and providing exceptional support to clients and visitors.
Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize QuickBooks and bookkeeping skills for financial record-keeping and invoicing
- Coordinate appointments, schedule meetings, and maintain calendars using Microsoft Office and Google Workspace tools
- Provide customer support via phone, email, and in-person interactions, ensuring excellent phone etiquette and customer service standards
- Handle clerical tasks such as typing correspondence, organizing files, and maintaining office supplies
- Support medical or dental office functions if applicable, including patient scheduling and administrative documentation
- Assist with administrative projects, including record keeping, report generation, and other duties as assigned
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or bookkeeping software is preferred
- Excellent computer skills with the ability to handle data entry accurately and efficiently
- Strong clerical experience including filing, proofreading, and document management
- Previous customer service experience with professional phone etiquette and customer support skills
- Familiarity with multi-line phone systems and front desk operations
- Medical or dental office experience is a plus but not required; relevant certifications are advantageous
- Ability to multitask effectively in a fast-paced environment while maintaining attention to detail
- Demonstrated organizational skills with the ability to prioritize tasks efficiently
Pay: $70,000.00-$75,000.00 per year
