Job Summary
We are seeking an experienced and highly organized Dental Office Manager to oversee daily operations and contribute directly to administrative functions at our modern downtown dental clinic.
This is a hands-on leadership role — ideal for someone who thrives in both managing people and actively supporting front-office tasks such as scheduling, billing, and patient communication.

Key Responsibilities
Leadership & Team Culture
- Lead by example through professionalism, empathy, and follow-through.
- Inspire and support the team with clear communication, mentorship, and accountability.
- Conduct regular check-ins and performance reviews to foster growth and engagement.
- Maintain a positive, solutions-focused work environment built on trust, respect, and reliability.
- Ensure daily priorities are completed and systems stay on track without the need for constant reminders.
Operational & Administrative Excellence
- Oversee all front-office operations including scheduling, billing, collections, and patient record management.
- Work directly as part of the administrative team — answering phones, managing appointments, processing payments, and assisting patients as needed.
- Ensure seamless coordination between clinical and administrative staff for an exceptional client experience.
- Maintain accurate records, efficient workflows, and compliance with healthcare and privacy standards.
- Use dental software (Dentrix, Cleardent, or similar) to manage patient data and daily reporting.
Business Management & Accountability
- Monitor clinic KPIs such as production, collections, AR, and pre-booking rates.
- Assist with budgeting, payroll, and inventory management to ensure financial and operational efficiency.
- Identify process improvements and contribute ideas to enhance productivity and client satisfaction.
- Anticipate operational needs and resolve issues proactively to support smooth clinic function and growth.
Patient Experience & Compliance
- Handle patient concerns with empathy, professionalism, and timely follow-up.
- Ensure compliance with Alberta health regulations, infection control, and privacy legislation.
- Uphold the clinic’s reputation for excellence in service, communication, and hospitality.
Qualifications & Skills
- 5+ years of experience in dental, medical, or healthcare office management.
- Strong working knowledge of Dentrix, Curve, or comparable dental software.
- Excellent communication, organization, and follow-through skills.
- Proven leadership ability with hands-on administrative experience.
- Sound understanding of HR processes including scheduling, training, and performance management.
- Financial awareness and comfort tracking key performance metrics.
- Ability to balance empathy with accountability and business results.
Job Type: Full-time
Pay: $27.36-$38.00 per hour
Expected hours: 41 per week
