Position Summary:
As a Dental Office Supervisor, you will oversee day-to-day operations of our dental offices, support front-office staff, and ensure a consistent, high-quality patient experience across all locations. This role is perfect for someone who thrives in a dynamic environment and enjoys leading teams while implementing efficient processes.
Schedule:
Monday-6:30-3pm
Tuesday-6:30-3pm
Wednesday- 7:30-4pm
Thursday- 8-4pm
Friday-7-3pm (or 4pm once per month)
Saturday - Off (unless coverage needed)
Sunday- Off
Key Responsibilities:
· Oversee all of the operational systems of the clinic, including but not limited to: scheduling, appointment book control, recare, treatment coordination, financial matters, including collections and accounts receivable, and overseeing the staff that have been tasked with each of the areas noted above;
· Organize and lead the daily chart audit to ensure a smooth and productive day;
· Respond efficiently to patient needs and inquiries, and work toward improving the overall patient experience;
· Resolve patient issues in accordance with company policies and procedures, healthcare regulations and dental board standards;
· Establish and maintain proper communication and cooperation between the administrative and clinical teams to ensure smooth workflow;
· Manage patient scheduling, ensuring there are limited gaps in the schedule;
· Maintain patient data according to regulations and company policies, including applicable privacy and security regulations;
· Take responsibility for the appearance, cleanliness and functionality of the office;
· Recruit and select office staff to meet operational requirements;
· Train, develop and performance manage staff to meet performance standards;
· Determine staff schedules and ensure operational standards are met;
· Manage employee relations and make certain staff have necessary resources and support;
· Support marketing and promotion initiatives;
· Manage the clinic’s online presence, including social media accounts and Google reviews;
· Monitor and maintain the office budget;
· Organize and present financial arrangements to patients;
· Collect, review and forward the payables to the Financial Department;
· Run and analyze management reports;
· Perform month-end duties and forward month end reports to Management and Owners along with the reconciliation of lab bills;
· Organize and lead monthly staff meetings; and
Qualifications:
- 2+ years previous experience as a dental office supervisor
- Strong leadership, organizational, and problem-solving skills
- Excellent communication and interpersonal skills
- Proficient with dental software
- Ability to manage multiple priorities and adapt in a fast-paced environment
- Knowledge of dental billing, insurance, and regulatory requirements is an asset
