Office Manager – Dental Practice (NW Calgary)
Job Summary
We are seeking a highly organized and proactive Office Manager to support daily operations in our growing dental practice. This role is well suited for someone who enjoys leadership, organization, and building strong systems that support both staff and patient care. The Office Manager works closely with the dentists and team to ensure smooth workflows and a positive office culture.
Key Responsibilities
- Oversee daily administrative and front office operations
- Supervise and support reception and administrative staff
- Manage scheduling and coordination to support efficient patient flow
- Oversee billing, collections, and insurance processes
- Manage vendor relationships and office services
- Assist with bookkeeping, payroll coordination, and budgeting using QuickBooks or similar software
- Support onboarding, training, and ongoing staff development
- Maintain organized records, policies, and procedures
- Ensure compliance with office policies and healthcare standards
- Assist with operational improvements and special projects
Role Structure
Specific roles and responsibilities will be further defined through discussion with the practice owners. The goal of this position is for the Office Manager to take ownership of the administrative operations of the clinic, help establish a positive and professional team culture, and work independently to support the dentists. This will allow the owner dentists to focus on providing clinical care while knowing the administrative side of the practice is well managed.
Onboarding and Growth
A structured onboarding process will be provided. Responsibilities will be introduced gradually as the Office Manager becomes familiar with the clinic’s systems, team, and workflows. Over time, this role is expected to take on increased responsibility and leadership within the practice.
Qualifications
- Previous experience in dental administration or office management preferred
- Strong organizational and leadership skills
- Excellent communication and customer service abilities
- Experience with scheduling, payroll coordination.
- Ability to manage multiple priorities in a fast-paced environment
- Experience in medical or dental office settings is an asset
