We are seeking an experienced Dental Office Manager to oversee the daily operations of a 3-clinic dental practice. This leadership role is responsible for ensuring smooth clinic operations, strong team performance, excellent patient experience, and financial efficiency across all locations. The ideal candidate is organized, people-focused, and confident managing multiple sites.
This is a hands-on management role with accountability for administrative teams, systems, and performance, while working closely with the dentist/owner.
Key ResponsibilitiesMulti-Clinic Operations
- Oversee day-to-day operations across three dental clinic locations
- Standardize workflows, policies, and procedures across all sites
- Ensure clinics meet productivity, scheduling, and patient flow targets
- Travel between clinics as required to support teams and operations
Leadership & Human Resources
- Lead, coach, and support office administrators, receptionists, and coordinators
- Recruit, onboard, train, and retain administrative staff
- Create schedules, manage attendance, vacation, and sick time
- Conduct performance reviews and manage corrective action when needed
- Foster a positive, accountable, and professional workplace culture
Financial & Business Management
- Oversee billing, insurance submissions, accounts receivable, and collections
- Monitor production, collection ratios, and other key performance indicators (KPIs)
- Coordinate payroll, time tracking, and benefits administration
- Identify opportunities to improve efficiency, revenue, and cost control
Patient Experience
- Ensure exceptional patient service across all clinics
- Handle escalated patient concerns professionally and promptly
- Oversee recall, reactivation, and patient communication systems
Compliance & Systems
- Ensure compliance with provincial dental regulations, privacy legislation (PHIPA), and health & safety standards
- Ensure effective use of practice management software and office technology
- Maintain accurate, confidential records and reporting
Qualifications
- 3–5+ years of experience in dental office administration
- Minimum 1–2 years in a dental leadership or office management role
- Experience managing multiple locations strongly preferred
- Strong knowledge of dental billing, insurance, and treatment coordination
- Proficiency with dental practice management software
