The Role
This position is ideal for an experienced dental office manager who enjoys both leadership and hands-on involvement. You will be responsible for overseeing administrative operations while actively supporting daily front-desk and patient coordination needs when required.
You will work closely with the dentist-owner to maintain smooth operations, support senior administrative staff, and guide ongoing improvements to systems, workflows, and the physical clinic environment.
Key Responsibilities
- Provide operational leadership across scheduling, billing, insurance processing, and accounts receivable, supporting senior team members who manage these functions day to day
- Step in as needed to assist with patient communications, appointment coordination, and billing support
- Build and maintain a structured treatment follow-up and case management process to ensure continuity of care
- Support payroll preparation and oversee ordering and inventory of clinical and office supplies
- Coordinate clinic repairs, maintenance, and upgrades in collaboration with the dentist-owner
- Lead the implementation of new technologies, workflows, and training initiatives
- Support in-office processes for collecting patient feedback and online reviews
- Ensure ongoing compliance with infection prevention and control, radiography safety, and privacy regulations
- Assist with recruitment and onboarding of clinical and administrative staff
- Handle additional office management and clinic-related responsibilities as needed
Qualifications and Experience
- Previous experience in dental office management or a senior dental administrative role
- Strong organizational skills with a practical, hands-on leadership approach
- Solid understanding of Ontario dental compliance requirements, including IPAC, x-ray safety, and privacy
- Comfort working with payroll inputs, procurement, and AR oversight
- Proficiency with dental practice management software and standard office tools
- Professional, calm, and patient-centered communication style
