About the Practice
We are a busy, well-established, patient-focused dental practice located in Richmond Hill. Our team is committed to delivering high-quality dental care while providing an exceptional patient experience in a professional and welcoming environment. We are seeking an experienced, hands-on Dental Office Manager to oversee daily operations, lead staff, and ensure the practice runs efficiently and effectively.
Position Summary
The Dental Office Manager is responsible for overseeing the day-to-day operations of the practice, ensuring smooth administrative workflows, strong financial performance, staff leadership, and regulatory compliance. This is a senior leadership role that requires someone who is highly organized, detail-oriented, proactive, and confident managing a busy dental office.
This position works closely with the dentist/practice owner and serves as the operational backbone of the practice.
Dental software used: Abeldent (required)
Key Responsibilities
Operations & Office Management
- Oversee daily administrative operations including scheduling, billing, and patient records,
- Ensure efficient office flow and a professional, patient-centered environment
- Optimize patient scheduling to maximize productivity and patient satisfaction
- Monitor and manage office supplies, inventory, and vendor relationships and invoicing
- Handle escalated patient concerns with professionalism and discretion
Team Leadership & Staffing
- Supervise, mentor, and support front desk staff, hygienists, and administrative team members
- Coordinate staff schedules, coverage, and time-off requests
- Lead staff meetings, onboarding, training, and performance evaluations
- Foster a positive, accountable, and collaborative team culture
Patient Experience
- Oversee patient check-in/check-out processes
- Ensure patient records are accurate, up to date, and handled confidentially
- Monitor patient feedback and identify opportunities for service improvement
Financial Oversight & Reporting
- Oversee financial input including payments, billing, insurance claims, accounts receivable, and collections
- Review and verify end-of-day reports
- Track revenue, expenses, KPIs, and operational metrics
- Review performance results and practice goals with the dentist/practice owner
- Assist with payroll coordination and verification
Invisalign Coordination
- Manage Invisalign administrative workflows, case coordination, and financials
- Ensure accurate tracking of Invisalign cases and patient payments
(Non-clinical responsibilities only)
Regulatory Compliance
- Ensure compliance with privacy legislation, health & safety standards, and dental regulatory requirements
- Maintain accurate records for audits, inspections, and licensing
- Stay informed on updates to dental industry regulations and best practices
Marketing & Growth Support
- Support patient retention and new patient acquisition initiatives
- Collaborate with the dentist/practice owner on internal marketing and growth strategies
- Monitor retention, recall, and new patient metrics
Qualifications & Requirements
- Minimum 5 years of experience as a Dental Office Manager (required)
- Strong working knowledge of Abeldent dental software (required)
- Proven leadership and team management experience
- Excellent organizational skills with exceptional attention to detail
- Strong communication and interpersonal skills
- Solid understanding of dental billing, insurance processes, AR, and collections
- Experience coordinating Invisalign cases and financials
- Ability to work full-time, in-office
- Professional references required
Job Types: Full-time, Permanent
Pay: $60,000.00-$75,000.00 per year
