Responsibilities

- Manage multi-line phone systems, directing calls efficiently and professionally
- Handle incoming correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
- Support office management tasks such as calendar scheduling, appointment setting, and calendar management
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
- Provide exceptional customer support by addressing inquiries and resolving issues with patience and professionalism
- Perform clerical duties including photocopying, faxing, filing, and maintaining office supplies inventory
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and collaboration
- Uphold phone etiquette standards when communicating with clients, vendors, and team members
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, and general computer skills
- Familiarity with multi-line phone systems and front desk operations in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong customer service orientation with exceptional communication skills—both verbal and written
- Experience in clerical tasks such as filing, proofreading, calendar management, and time management
- Knowledge of medical or dental receptionist procedures is a plus for specialized healthcare environments
- Personal assistant experience or office experience that demonstrates reliability and attention to detail
- Ability to handle phone etiquette professionally while managing multiple priorities efficiently
