The Ottawa Clinic is seeking a warm, articulate, and driven Patient Care Coordinator (PCC) to join our growing team and work directly for Dr Trefor Nodwell - Double Board Certified Plastic Surgeon. This is a key role where clinical knowledge meets exceptional service and sales. You'll guide patients through their surgical journey — from first consultation to post-op care — while helping them feel understood, supported, and excited.
What You’ll Do: Patient Relationship & Care Coordination
● Be the first and primary point of contact for prospective plastic surgery patients
● Educate and counsel patients on cosmetic procedures, treatment options, and pre/post-op expectations
● Present procedure quotes, explain financing/scheduling options, and assist with decision-making
● Coordinate all aspects of pre-op and post-op visits with empathy and accuracy
● Build lasting patient relationships that reflect our brand’s compassion and quality
Sales & Cosmetic Services Expertise
● Develop deep knowledge of our cosmetic procedures, services, and products
● Meet and exceed monthly sales and scheduling goals
● Stay current with industry trends and competitor offerings
● Provide feedback and ideas to help refine offerings and improve the patient journey
Administrative Excellence
● Schedule procedures, consultations, and follow-up visits via EMR
● Maintain meticulous records of all patient communications
● Prepare quotes, invoices, and follow up on payments as needed
● Assist with inventory control, documentation, Rx follow-up, and general support as needed
● Track leads and performance metrics; provide reports and insights to the leadership team
Team & Brand Representation
● Be a visible and enthusiastic ambassador for TOC and Dr Nodwell.
● Collaborate with staff across offices to maintain seamless patient experience
● Support marketing and social media efforts, including before/after photo management
● Participate in training, meetings, and occasional industry events
Who You Are:
● Experienced in sales (3+ years), ideally with a background in aesthetics, medspa, or pay for procedure healthcare
● A warm communicator with stellar phone, in-person, and written communication skills
● Highly organized, tech-savvy, and detail-oriented
● Fluent in English; Fluent in French is highly preferred and considered a strong asset
● Comfortable with scripts, yet genuine and empathetic in every interaction
● Able to manage multiple priorities in a fast-paced, boutique clinical environment
● Driven by both patient outcomes and practice performance
Education & Experience:
● Bachelor’s degree preferred
● Experience in Aesthetic surgery, cosmetic dermatology, or medspa industry is a plus
● Familiarity with EMR systems and medical documentation is helpful but not required
